What we collect
We collect only what we need to answer an enquiry and do the work.
- Details you give us in an enquiry form: your name, organisation, email address, phone number, and the information about your requirements or your building that you choose to include.
- The property reference and page you enquired from, so we know what you are asking about.
- Technical information created automatically when you visit, such as the pages you view and basic request data used to keep the site secure and available.
We do not ask for and do not want health data, information about the people you support, or any other special category data through this website. Please do not include it in an enquiry.
Why we use it, and our lawful basis
- To reply to your enquiry and progress the introduction or property search you asked about. Lawful basis: your consent when you submit the form, and our legitimate interests in responding to a business enquiry.
- To carry out a sourcing or matching instruction, including sharing relevant details with a landlord or provider where that is the point of your enquiry. Lawful basis: performance of a contract, or legitimate interests.
- To keep records of what was agreed and to meet legal, accounting and tax obligations. Lawful basis: legal obligation and legitimate interests.
- To keep the website secure and prevent spam and abuse. Lawful basis: legitimate interests.
We do not sell your data, and we do not add you to a marketing list because you made an enquiry.
Who we share it with
We share personal data only where it is necessary: with the landlord or provider your enquiry relates to, with professional advisers such as solicitors and planning consultants where you have asked us to progress a matter, and with the service providers who host this website, store our data and send our email. Those suppliers act on our instructions under contract.
Where a supplier stores data outside the UK, we rely on the appropriate safeguards required by UK data protection law, such as the International Data Transfer Agreement or an adequacy decision.
How long we keep it
Enquiries that do not lead to any further contact are kept for 24 months and then deleted. Records relating to a completed instruction are kept for 6 years to meet contractual, accounting and limitation period requirements.
Your rights
Under UK GDPR you can ask us for a copy of your data, ask us to correct it, ask us to delete it, ask us to restrict how we use it, object to processing based on legitimate interests, and ask us to transfer it to someone else where that applies. Where we rely on consent, you can withdraw it at any time.
